Malaysia Renovation Quotation Checklist
Use this Malaysia renovation quotation checklist to compare scope, quantities, specifications, allowances, exclusions, milestones and change control on the same basis.
Direct answer:The best quotation is not automatically the cheapest or longest. It is the one that makes the proposed deliverable, assumptions, responsibilities and change process clear enough for both parties to use during construction.
How to use this guide: replace every point below with the property's actual dimensions, named responsibilities, approved drawings and written evidence before using it for quotation, approval or construction decisions.
Before comparing quotations: a project checklist
Before comparing individual quotations, organise the project in sequence: share site information and priorities; confirm site measurements and existing conditions; agree the design scope; review an itemised quotation and materials; confirm construction responsibilities and coordination; and record inspection, defect and handover arrangements. The sequence, deliverables, fees and timing depend on the actual project and agreed scope. See Our Renovation Process for the full six-step overview.
Check the project identity
Confirm address, property type, drawing revision, quotation date and the exact scope basis. A quotation tied to an outdated layout cannot be compared reliably.
Review quantities and specifications together
Each line should make the work, quantity, material or performance specification and unit clear where applicable. Generic labels make substitutions and omissions difficult to detect.
For fitted cabinets or storage, request separate dimensions, board and finish direction, door and hardware specifications, delivery and installation access, and any provisional items. Use the custom built-in furniture service to frame the cabinet brief, and the residential renovation service for wider works. Share site photos and an itemised scope through the free quotation form; final specifications and price depend on the site and written quotation.
Find allowances and owner-supplied items
Identify provisional sums, prime-cost items, selections pending, owner purchases and work priced after inspection. Record how final differences will be calculated.
Read exclusions before the total
Check approvals, deposits, protection, access, hacking, disposal, testing, cleaning, delivery, taxes, utilities and reinstatement. Missing interfaces often create later disputes.
Tie payments and changes to records
State payment milestones, completion evidence, variation approval, price/time impact, defect reporting, handover documents and the contract that governs the work.

Frequently asked questions
Should I compare only the total?
No. First normalise scope, specification, quantities, allowances and exclusions.
What is a provisional item?
It is an amount for work or a selection not fully defined; the adjustment method should be written.
Are verbal additions acceptable?
Record and approve the scope, cost and schedule effect in writing before work proceeds.
